A traffic commissioner, an HSE inspector or an insurer asks what was required, what happened, and where the record of it is.

Understand
Driving licences, medicals, Driver CPC and tachograph cards recorded against the people they belong to, with what expires next and the time remaining to act.

Manage
Documents issued to the people who need them, walkaround checks completed on a driver's phone, and defects that stay open until the repair is recorded.

Prove
Every acknowledgement, check and rectification recorded against a named person and a dated record, and produced as an Evidence Pack when it is asked for.
Fleet
The daily walkaround, with or without signal
Mobile signal in a yard is often poor, and a check that needs a connection is a check that does not happen. TOC records the walkaround on the phone and files it when the phone next reaches the network.
A driver on a tractor unit and trailer answers each shared question once, with a column for each. How long a check took is measured against the record, so a walkaround done in seconds is recorded as taking seconds.

Defects
Every fault is answered for
A failed check item asks for the note and the photograph at the point of failure. The fault becomes a defect against that vehicle, open until the repair is recorded and attributed to a named person.
Documents
Acknowledged against the version that was read
Driver handbooks, policies, toolbox talks and safety alerts, issued to the people they apply to. Acknowledgements are recorded against the version that was read, so a document revised in March does not rewrite what was acknowledged in January.
